Townsville Carpet Cleaners (“we”, “us”, “our”) is an Australian sole-trader business providing carpet, couch, mattress and rug cleaning in Townsville, Queensland. We respect your privacy and handle your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This policy explains, in plain English, what we collect, why, and what you can do about it.

1. What we collect

We only collect the personal information we need to quote and deliver our service. This typically includes:

  • Your name
  • Email address
  • Phone number
  • Service address
  • Notes about the job (room counts, stains, pets, access info, parking)

We collect this information directly from you when you submit our online quote form, call or SMS us, reply to one of our ads, or speak with us in person at your home before or during a clean.

2. How we use it

  • To prepare a quote and confirm a booking
  • To contact you about the job (arrival times, access, follow-ups)
  • To deliver and invoice the cleaning service
  • To follow up afterwards about re-booking, reviews or referrals
  • To keep records required for tax and business compliance

We don't sell your information. Ever.

3. Who we share it with

To run the business we use a small number of trusted third-party providers who process your information on our behalf:

  • GoHighLevel — our customer relationship management (CRM) system, where bookings, quotes and conversations are stored.
  • Supabase — the database that powers our website's quote form.
  • Meta (Facebook/Instagram) — when you submit a lead via one of our Facebook or Instagram ads, the form data is delivered through Meta's lead-ads system.
  • Twilio — the SMS provider used by GoHighLevel to send and receive text messages with you.

Some of these providers store data outside Australia (typically in the United States). We only use providers with appropriate security and privacy protections.

4. Access, correction and deletion

You can ask us at any time to see what personal information we hold about you, correct it, or delete it. Email codie@tsvcarpetcleaners.com.au and we'll respond within a reasonable timeframe (usually within 30 days).

Note: we may need to keep some records (like invoices) even after deletion to meet our tax and legal obligations — see retention below.

5. How long we keep it

We keep your contact details and job history for as long as you're an active customer. After that, we retain records that relate to a paid job (invoices, booking history, payment records) for 7 years to comply with Australian tax and business record-keeping laws.

Quote-only enquiries that don't turn into a booking are typically removed from our active CRM within 24 months.

6. How we protect it

  • Accounts with our CRM, database and email are protected by strong unique passwords and two-factor authentication where available.
  • Data transmitted between your browser and our website is encrypted (HTTPS).
  • Access to customer records is limited to the business owner.
  • We don't store payment card details — payments are handled directly between you and your bank/payment provider.

No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
